Sales Operation Coordinator

Description

In this role, you will make an impact in the following ways:

lSupports sales force through reporting, system administration and internal & external data analyses by executing, supporting and improving selected activities under limited supervision.

lReporting: Consolidates and distributes repetitive sales reports, creates ad-hoc sales reports under limited supervision. Revises templates, consolidates data from others, provides as forecasting input under limited supervision.

lSystem Administration: Runs complicated tasks, documents ad-hoc tasks on systems and tools (e.g. salesforce, WWSPS, BMS, Portal) under limited supervision. Periodically evaluates the user-entered data hosted on the systems to ensure completeness and identifies improvements.

lData Analyses (External & Internal): Analyses external sources (e.g. Polk, Dodge, RigDig, etc.) to identify sales opportunities and forwards them to the sales team.

lFacilitates smooth communications between senior management and coworkers and between senior management and external parties such as media, customers, vendors and the public.

lMaintains the security and confidentiality of management' records and files.

lMonitors, reviews and approves standard expenditures to ensure the activities of the office are conducted within established budgets.

lReports required information on a regular basis as assigned (e.g. monthly).

lPerforms various tasks using independent judgement and discretion; e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

Act as formal resource for colleagues with less experience.

Completes other activities for senior management upon request and/or as required.

lActs as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

lResponsible for assigned customer accounts for the entire order life cycle (from new customer set-up, order entry/modification, escalations; responsibilities might include logistics management) to ensure orders are shipped to agreed deadline.

Preferred Qualifications

lHigh school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

lThis position may require licensing for compliance with export controls or sanctions regulations.

lRequires significant relevant work experience or specialized skills obtained through education, training or on-the-job experience.

Japanese / English speaking is even more possible.
