Job Description

Under general supervision, the Shared Academic Advisor provides student academic advising and oversight of current Minnesota State College Southeast (Southeast) students pursuing Winona State University (WSU) as their transfer institution. Along with the student’s program advisor, the Shared Academic Advisor will advise Southeast degree/majors within the Credential Pathway Mapping Guides/Transfer Pathway Programs that best align and will provide and advise on credit for prior learning (CPL) options. The individual will participate in coordination of public and community service events and marketing of transfer to WSU programming. The position provides comprehensive information on academic programs and enrollment policies and processes at Southeast and WSU according to policies which govern both institutions. This individual will provide transfer admission advising to ensure the ease of transfer to Southeast from other colleges and universities and will initiate the CPL assessment for students coming from the workforce and collaborate with both partner institutions to provide seamless and efficient transfer experiences for the students. The Transfer Pathways majors also require that the Shared Academic Advisor provides advising to students wanting to transfer to other Minnesota State University partners. Consistent collaboration with all institutions will be expected. The position will be supported by both Southeast and WSU in providing professional development opportunities for the role. This position also plays a key voice in promoting student and public awareness of the collaborative academic programs between Southeast and WSU.

RESPONSIBILITIES AND RESULTS

In conjunction with the student’s assigned program advisor, and utilizing the Appreciative Advising model, provide transfer advising services to enrolled Southeast students. Students are advised and informed of undergraduate and transfer programs. Advising services cover career and program (major) choices, course selection and scheduling, financial aid and scholarships, graduation requirements, transfer agreements, transfer evaluation, and CPL referrals. Students are made aware of MinnState transfer protocols and taught to utilize the Degree Audit Report and Graduation Planner tool to track their academic progress. Student success is monitored, and timely interventions are performed. At-risk students are identified and provided with additional supports as needed. Academic recovery plans are developed and implemented with students to ensure student success, retention, and completion. Work with recruitment and admission staff at both institutions to recruit transfer students from area high schools, community-based organizations, and adult-serving partners (e.g., workforce centers, non-profit organizations, etc.) to provide access to historically underrepresented individuals based on race/ethnicity, income level, age and family status. Develop recruitment, enrollment, and admission services for transfer students in conjunction with WSU admissions staff and assess for effectiveness. Through collaboration with internal and external stakeholders, service gaps and student concerns are identified to improve student satisfaction and the quality of the advising services. In collaboration with the partners Directors of Marketing, work to enhance the partners websites, and other “marketing” materials and initiatives, to include accurate, easy to access information for students seeking to transfer. Accurate course and program information is disseminated through participation in program, division, and college-wide meetings.

  • Students are accurately advised have an academic plan in place

  • Students are able to track their academic progress using the Degree Audit Report and Graduation Planner tools

  • Develop and implement a plan to meet transfer goals

  • Referrals are completed so that at-risk students receive holistic supports as needed

  • Academic (Starfish) alerts are responded to in a timely manner and connect students with additional supports

  • Documented interventions are performed when students fall short of their academic plan

  • Appreciative Advising practices are in line with the Credential Pathway Mapping guides

  • Collaboration and cooperation are evident among admissions/records, financial aid, and other Student Success offices

  • Facilitate CPL assessment discussions between students and faculty

  • Lead the planning/implementation of the annual Regional Transfer Fair at Southeast

  • Ensure Southeast policy and practice guidelines are applied accurately and appropriately to all student

Provide initial advising services to currently enrolled Southeast students for transfer to WSU. Utilizing the Appreciative Advising model, and in conjunction with the student’s program advisor, academic advising services are provided to prospective WSU students. Students are advised regarding the transfer programs for efficient undergraduate transfer between Southeast and WSU. MinnState transfer policies and procedures are shared with students and students are referred to WSU for admission counseling. Collaboration between institutions and departments is promoted to ensure effective transfer.

Key Performance Indicators (KPIs):

  • Students identify and declare the academic program that aligns to their career goals

  • Students transfer to WSU academically prepared to pursue their bachelor's degree

  • Map WSU program requirements to the student’s first two years at Southeast

  • Work with Southeast and WSU faculty to align curricula between both institutions

  • Appropriate referrals (including, but not limited to, Access Services, Tutoring Services, Financial Aid,) are made to students upon transfer

  • Students are aware of transfer processes and have been connected to the appropriate WSU staff to facilitate the process

  • Improvements to curriculum design and advising practices result from collaboration

Provide leadership by working to create a strong partnership between Southeast and WSU that is visible and positive. A collaborative partnership is promoted by participating in on- and off-campus events for both institutions, and by serving as the Southeast/ WSU contact and resource for transfer programs. This includes orienting students to the university and ensuring current program information is disseminated on both campuses.

  • Students are supported in their academic journey by both Southeast and WSU.

  • Transfer academic pathways are shared at key events

  • Current program materials and information are disseminated on each campus (in person, email, social media, phone, and mail resources)

  • Students know who to contact regarding Transfer to WSU and related programming

Maintain reporting systems to identify transfer trends between Southeast and WSU and provide clear and concise reports to communicate findings to both institutions. Annually facilitate senior leadership discussions on equity in transfer enrollment and outcomes, considering which students by race/ethnicity, income level, age, and gender enroll in and complete programs and transfer and attain a bachelor’s degree.

Utilizing collected data, identify opportunities to improve processes to potentially increase the number of transfer students.

  • Analyze and share transfer data with leadership at both institutions

  • Establish data-driven vision and goals for transfer between Southeast and WSU

Participate in College Committees, Student Affairs, and Advising initiatives/activities, and perform other duties as assigned. Assists with special projects as necessary to meet the objectives of the Student Success/ Advising and Student Affairs teams.

  • Adheres to state, system, and college rules, including policies, procedures, contracts, regulations, laws, mandates, and Standards of Excellence Expectations

  • Attends Student Success and Student Affairs, and Advising meetings as necessary

  • Serves on college and community committees

  • Performs other duties as assigned

Minimum Qualifications

  • Three years’ experience in providing support services to students in higher education. An associate's in Education, Communication, Marketing, Business Administration, or related field may substitute for 6 months of experience, a bachelors in Education, Communication, Marketing, Business Administration or related field may substitute for 1 year of experience.

  • Knowledge and skills related to transfer equivalency

  • Effective communication skills (listening, writing and oral) and human relations skills

  • Strong organizational skills

Preferred Qualification

  • Master’s degree in Student Affairs Administration/Leadership or related field

  • Knowledge of transfer curriculum

  • Knowledge and skills related to credit for prior learning

  • Knowledge about Southeast and WSU policies and procedures, programs and curriculum, and services and resources

  • Experience providing academic advising and credit for prior learning assessments to students

  • Understanding of and use of appropriate software systems, including but not limited to: ISRS- Integrated Statewide Reporting System, Perceptive Content, Hobson's Connect, Microsoft Office 365, Microsoft TEAMS, ZOOM, College Board/Minn State U-Achieve platform.

Work Shift : 7:30am-4:00pm, 8:00am-4:30pm
