Live Nation Office Coordinator - NS2 in Nashville, Tennessee

Job Summary:

Frank Productions is looking for a full-time Office Coordinator to join our team in Nashville, TN. We are committed to Diversity, Equity, and Inclusion and encourage talent from all backgrounds to apply.

WHAT THIS PERSON WILL DO

  • Answer incoming calls and receive visitors

  • Schedule and coordinate meetings and appointments for the President and staff as needed

  • Organize office operations and procedures

  • Act as the point person for maintenance, mailing, shopping, supplies, office equipment, bills, and errands

  • Prepare agendas for meetings, schedules, and internal communications

  • Open, sort, and distribute incoming mail and deliveries

  • Maintain office supplies by checking inventory, sourcing items, and stocking

  • Act as the project coordinator when necessary, as directed by the President

  • Train and assist other team members on office equipment

  • Work closely with Human Resources for onboarding and other companywide initiatives

  • Plan and coordinate local staff functions

  • Assist with data entry into company systems

  • Assist with invoicing, accounts payable, and expense reports

  • All other duties as assigned

WHAT THIS PERSON WILL BRING

  • Interest in office operations, executive administration, or developing similar skills

  • Must have a valid driver’s license for job-related errands

  • Must have a vehicle and proof of insurance

  • Must be 21 years of age or older

  • Willingness to occasionally work unconventional hours, as job duties demand

  • Ability to handle confidential and sensitive information in a professional manner

  • Ability to communicate effectively in a team environment that includes in-person collaboration, group e-mails, and instant messaging

  • Ability to work independently and solve problems using sound decision-making skills

  • Excellent time-management skills and the ability to change focus, meet tight turnarounds and important deadlines

  • Excellent organizational skills and attention to detail

  • Ability to adapt and be flexible

  • Committed to learning, and fostering an environment of diversity, equity, and inclusion

  • Ability to learn and work within systems such as MS Office, project management software, and other company systems

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • Extended periods of sitting at a computer station or work desk

  • Utilization of hands and fingers to operate computers and office equipment

  • Performs duties while standing and walking, including ascending and descending stairs

  • Lifts up to 20 pounds

  • Occasionally crouches, kneels, bends, and reaches

This position is expected to work forty (40) hours per week or more. This position is an at-will position, meaning that either party may terminate the employment relationship at any time without notice or cause.
