Description

We are seeking a dynamic and highly organized Executive Assistant/Operations Assistant to join our client team in a permanent capacity. This role will provide comprehensive support to senior management while also playing a vital role in company operations, particularly in event planning and client relations. The ideal candidate will thrive in a fast-paced environment, excel at multitasking, and possess exceptional communication and organizational skills.

Overview:

Executive Assistant Responsibilities:

  • Manage senior management's calendars, including scheduling appointments, meetings, and travel arrangements.

  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing meeting materials.

  • Handle correspondence, including drafting emails, letters, and other documents.

  • Prepare presentations, reports, and documents as needed.

  • Assist in personal tasks and errands for senior management as required.

  • Maintain confidentiality and discretion in handling sensitive information.

Operations Assistant Responsibilities:

  • Assist in the planning and execution of events, including venue selection, vendor coordination, and logistical arrangements.

  • Foster positive client relationships through effective communication and timely responses to inquiries.

  • Prepare proposals and presentations for potential clients, ensuring accuracy and professionalism.

  • Manage client contracts, invoices, and payments in coordination with the finance team.

  • Organize and maintain digital and physical files, ensuring easy access and retrieval of information.

  • Collaborate with cross-functional teams to ensure seamless execution of projects and events.

    Requirements

  • Bachelor's degree preferred.

  • Proven experience (2+ years) in a similar role, preferably in the event management or hospitality industry.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Strong attention to detail and accuracy in work.

  • Exceptional communication and interpersonal skills.

  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.

  • High level of discretion and confidentiality.

  • Experience with event planning software/tools is a plus.
