Your Opportunity

We have an exciting opportunity for you to be a part of our operations team. This role includes both office and project administration in a busy architectural office located in Philadelphia, Pennsylvania.

You will provide support for our Project Controls team including project setup, administering staffing forecasts and reports, running financial and job performance reports, and updating and tracking pipeline, and supporting the project invoicing process. You will also assist with general office operations.

Your Key Responsibilities

  • Fully understanding the scope of the projects on which you are working.

  • Supporting development of project estimates, proposals, budgets, and schedules.

  • Communicating effectively with internal team members, leadership, financial managers, external clients, and consultants.

  • Prepare understandable, timely and useful reports.

  • Supporting Project Controls team members in working with Stantec’s financial team to issue timely project invoices, follow up on accounts receivable, and monitor consultant budgets and agreements.

  • Understanding Project Controls processes and systems.

  • Adhering to client and Stantec project management procedures and standards.

  • Providing administrative support to management team, as required.

  • Assisting with general office and administrative tasks when needed.

Qualifications

Your Capabilities and Credentials

  • Must be proficient in MS Office skills, with advanced skills in MS Excel. Experience with Financial/Cost systems (Oracle, Prolog, etc.) is preferred.

  • Ability to work independently, multi-task and adapt to change in a very dynamic environment.

  • Possess a “can do” and “will do” attitude while taking charge of any assignment given.

  • Must have worked in a team environment and understand the importance of being a team player.

  • Sharp thinker with a keen attention to detail along with strong written and verbal communication.

  • Self-motivated individual with a strong work ethic, capable of prioritizing and communicating to multiple groups.

  • Ability to work independently, multi-task, manage time and priorities, and make timely decisions.

  • Prior work in project controls / project assistant role is a plus.

  • Architecture/Engineering/Construction industry experience is a plus.

  • Basic understanding of accounting principles.

Education and Experience

Bachelor’s degree preferred but not required. Minimum of 5 years of administrative experience, with experience or course work in architecture, engineering project management, accounting, finance, or business a plus.
