Posting Summary
Rutgers, The State University of New Jersey is seeking a full-time Grants Coordinator in the Business Department of The Center for Advanced Biotechnology and Medicine (CABM).

The Grants Coordinator position reports to the Pre-Award Manager and is responsible for providing support to further the CABM's research mission. This position will be responsible for assisting faculty with budget development, and initiating, navigating and managing the Rutgers Research Administration Proposal Submission System (RAPSS). Under the direction of the Pre-Award Manager, the Grants Coordinator will be responsible for maintaining the CABM's grant and contract submissions and awards files, coordinating notification and reminders of interim and final progress report due dates, and verifying faculty and staff completion of the eCOI prior to submission. The Grants Coordinator will assist faculty with understanding and interpreting sponsor guidelines and provide administration support in all aspects of the pre-award process.Among the key duties of this position are the following:
  • Initiates and manages funding proposals via the Rutgers Research Administration Proposal Submission System (RAPSS).
  • Assists faculty with budget development and funding proposal administrative requirements.
  • Assists in maintaining internal CABM proposal submission and awards spreadsheet and electronic copy of files on CABM Research shared drive.
  • Coordinates timely notifications/reminders to faculty for all interim and final report due dates.
  • Responsible for pre-award process and must work closely during the grant submission process with Faculty to ensure all information is accurate, uploaded and submitted to ORSP for final review prior to submission to funding agency.
  • Work closely with ORSP through the submission process, tracking & updating the PI on the status.
  • Provides support in developing grant funding projections for the CABM Business Office.
  • Under direction provides support with post award processes including: Award notification in RAPSS and Department reconciliation. When awards are approved, work with the PI to develop and submit a re-budget.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications

Minimum Education and Experience
  • Bachelor Degree in Business Administration or a related field plus at least three (3) years of administrative experience in a government agency, university setting, or large business office.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must have strong computer skills with a working knowledge of web-based searches and on-line forms.
  • Must be proficient in Microsoft Office products including Word, Excel, PowerPoint.
  • Must be proactive and service-oriented and remain productive and pleasant under the pressure of multiple deadlines.
Preferred Qualifications
  • Proficiency with Rutgers Administrative Proposal Submission System (RAPSS).
  • Five (5) years of administrative experience in a government agency, university setting, or large business office.

Physical Demands and Work Environment
  • Physical Demands: Standing, sitting, walking, talking, seeing, and hearing. Must be able to lift light to medium weight objects and work with low-level background noise from instrumentation and computers. Must be able to perform detailed work, be able to work productively under time constraints to meet deadlines, and manage multiple tasks.
  • Work Environment: Office setting. Occasional travel to various Rutgers campuses for meetings required. This position requires occasional evening and weekend hours as needed to meet grant submission deadlines.
