Job Summary (Communications Manager)

 

 This individual will assist in leading day-to-day operations and oversee internal and external digital media and strategic campaigns for the External Relations office. This includes coverage for all 6 academic areas, Dean¿s Office, Advisement, Galleries, Museum of Art (MOA), CFAC Marketing & Production Arts Production, BYU OnStage, CSR etc., managing office budget and resource planning, and assisting the Assistant Dean in Academic, Media, University, Donor, Alumni Relations and Performing Arts Management (PAM).

 

 

 

Essential Functions

 

  1. Oversee Digital Media and Reports

     

Work with Assistant Dean on communications and public relations plans which include key strategic digital media and strategic campaigns to both internal (Faculty and Staff) and external audiences (University Administration, Alumni, Donors, Public, etc.). 

Facilitate strategy meetings and assist with monthly council meetings. 

Gather and create monthly analytical reports and dashboards for the External Relations office to meet KPIs of College (Dean's Office) and External Relations Strategic goals and plans. 

Maintain a monthly / annual report that reflects the use and impact of sacred resources allocated by the Dean's Office to External Relations. 

Manage other office processes such as, but not limited to: hiring, training, hours reporting, time off requests, forecasting, etc.

 

  1. Facilitate the development, implementation, execution & reporting of strategic campaigns for the College.

     

Supervise part-time employees including students and coordinate strategic processes with their teams including related College campaigns. 

Facilitate inspiring and experiential learning of the College with hands-on mentorship in the External Relations team, while promoting life-long learning. 

Assist in updating and maintaining reporting documents for 10-12 campaigns throughout the year for the Dean's Office and the College of Fine Arts & Communications. (e.g. Faith + Works, Season Announcements, Homecoming, etc.)

Collaborate with BYU On Stage (Marketing/Creative), Bravo!, CFAC Marketing and Production through the MarComm committee in the strategy for performances. 

Assist with the creation and editing of digital media for the college including newsletters.

 

 3. Manage the External Relations office budget, strategic resource planning & special projects under the direction of the Asst. Dean.  

 

Report out strategic efforts to achieve annual and long term KPIs in concert with the BYU Strategic Plan and AIMS of a BYU education. 

Evaluate the budget needs monthly based on the yearly allocated funds, create an annual budget in Quarter 4. 

Facilitate quarterly Strategic Resource Planning for the External Relations office in conjunction with Assistant Dean. 

Assist in the coordination of special p rojects with internal and external vendors. 

 

  1. Communications Consulting 

     

Relationship Management 

 

Collaborating closely with the Assistant Dean in managing the External Relations portfolio of relationships with media, donors (Philanthropies), alumni and university (branding/college communicators) and academic (faculty/staff) area relations.

 

 Crisis Communications 

 

 Work with the Assistant Dean in executing responses to the appropriate groups. Facilitate External Relations teams in their crisis communications protocol. 

 Maintain a monthly report of crisis communications for Assistant Dean of the College of Fine Arts & Communications.

 

 

 

Education/Experience

 

Minimum education/experience required: 

 

Bachelor¿s degree in communications or related field and 2+ years agency or internal marketing team experience OR equivalent combination of education and experience. 

 

Preferred: 

 

Master¿s degree in communications or related field.

 

Skills, abilities, knowledge, licenses, certifications

 

 Experience Managing a Team 

 High attention for detail 

 Self-Motivated with excellent time management skills 

 Project management experience: ability to forecast, assign projects, create deadlines and follow up to meet  deadlines

 High attention to client communication: ability to work with people at all levels of an organization 

 Experience with financial and budget planning 

 Ability to recruit, train and manage high-potential employees in a high-turnover environment 

 Proficiency in MS Office, Google Drive and Project management software (e.g basecamp) 

 Well-developed organizational, communication, and writing skills 

 Ability to work well with others and feel comfortable speaking in front of a group
