University of Rochester Administrative Coordinator III in Rochester, New York
GENERAL PURPOSE:
This role provides specialized administrative support to senior faculty, the department’s vice chairs, as well as to the department administrator. It requires a strong working knowledge of administrative processes, including advanced computer skills utilizing Microsoft Office. This position requires sound professional judgment, respectful and professional communication, and the ability to build positive working relationships by regularly interacting with faculty, residents, students and staff.
RESPONSIBILITIES:
Provides administrative support to the department’s senior faculty, vice chairs and other departmental faculty including:
Serves as the primary point of contact between our various clinical & main medical center administrative offices
Providing support on various platforms for correspondence, presentations, letters of recommendation, and intramural correspondence
Maintain departmental faculty files ensuring all required documentation is up-to-date
Assisting faculty with the recredentialing process as needed
Develop and publish faculty meeting minutes and proactively prepare and compile background information as needed; arranges follow-up meetings, correspondence, and activities as requested
Act as the primary point-of-contact for the department’s weekly tumor board meeting
Calendar management; choosing an/or recommending options among competing demands on time and coordinating meetings
Serves as the primary point-of-contact for management and oversight, on behalf of the Department of Urology administration, on multiple aspects of medical center faculty requests including: eCV updates, radiation safety reports, quarterly time and effort survey, annual conflict of interest, biannual updates of CAQH, & quarterly Time and labor study
Provides primary administrative support and backup to the Department Administrator of Academic Affairs including supporting the faculty recruitment process, new provider onboarding, and alumni relations
Work collaboratively to support the department’s Advance Practice Providers (APPs) in the execution and coordination of department-wide events and educational meetings as needed
Maintain all data required to ensure timely and accurate quarterly submissions of all CAQH materials including medical licensing, malpractice, clinical and surgical practicing locations, etc.
Performs other related duties as requested.
QUALIFICATIONS:
High School diploma or equivalent required.
Bachelor’s degree in graphic design or equivalent experience preferred.
2 years of relevant experience or equivalent combination of education and experience required.
Proficiency in Microsoft Office Suite programs such as PowerPoint, Word, Excel and Outlook required.
Excellent written and verbal communication skills.
Strong organizational skills required.
Ability to manage multiple projects and deadlines required.
Strong sense of responsibility and ability to complete tasks with minimal supervision required.

Pay Range
Pay Range: $18.10 - $25.35 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
