Precision Grinding & MFG Corp Administrative Receptionist in Rochester, New York

Job Summary:

Greet and welcome vendors, customers, job applicants, and other visitors to the company. Answer and directing phone calls and perform routine tasks including word processing, data entry, filing and sorting, record maintenance and other clerical duties. This position is the first point of contact for both in-person and via-telephone visitors and is responsible for directing them to the appropriate person.

Summary of Essential Job Duties:

  • Maintain a clean and inviting atmosphere of the reception area, greet guests in a professional and welcoming manner, direct them appropriately.

  • Maintains visitor "Sign In/Out Log Book"' Issues visitor ID Security Badges; Responsible for issuing and maintaining company security badges via specialized software.

  • Operates five (5) line switchboard, routing incoming calls and/or taking message, as needed.

  • Performs various clerical duties for office staff, including tasks to assist the Purchasing, Accounts Payable and Accounts Receivable functions: Invoicing, Cash Receipts, AR Calls, Commercial Invoices.

  • Handles outgoing/incoming mail and sorts for delivery to office staff.

  • Orders, and may be required to pick-up and set-up, lunch for customer or company events and meetings.

    Qualifications and Competencies:

Knowledge & Skills:

  • Experience with multi-line switchboard.

  • Ability to effectively communicate, in person and via telephone, with coworkers, customers/vendors, and management.

  • Create and present a positive professional image of Maco Bag to visitors.

  • Must remain flexible and willing to modify work assignments to support other departments, as needed.

  • Ability to maintain a high degree of accuracy and data and information integrity.

  • Ability to effectively work independently.

  • Excellent math skills.

  • Must be proficient with MS Word, Excel.

    Educational/Experience Requirements:

  • High school diploma/GED required

  • Minimum six (6) months experience in office/reception setting.

  • Experience with ISO Standards preferred.

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

  • Ability to safetly lift up to 20 pounds.

  • The job involves prolong periods of sitting.

  • The employee is frequently required to use the computer.

  • While performing the essential duties of this job, the employee is regularly required to operate standard office equipment (including computer, telephone, copier, and fax machine) and requires long periods of sitting behind a desk, performing tasks on computer.
