Bureau of Land Management Administrative Support Assistant in Rock Springs, Wyoming

Responsibilities Prepare, edit, and finalize correspondence for office supervisors and managers. Disseminate correspondence to appropriate personnel and track and maintain records (manual and/or electronic) on issued correspondence. Ensure that Instruction Memorandums and Information Bulletins are properly distributed to the appropriate personnel. Enter and/or validate time and attendance records in the automated payroll system. Resolve complex timekeeping issues and review time and attendance records to ensure they are coded properly. Maintain the central filing system (official records, directives, BLM Manuals and Technical References, Departmental manuals and directives, secretarial orders, etc.) Provide assistance in researching and locating reference information and other files. Provide general information concerning office(s) operations to the public both orally and in writing. Contacts may occur through telephone, email, and in person. Respond to inquiries directly or refer individual to the appropriate staff member. May staff front desk of a receiving office or visitor center. For GS-06: You must possess one (1) full year of specialized experience at or equivalent to the GS-05 level that is equivalent in difficulty and complexity as indicated by the following examples: Knowledge of the duties, priorities, commitments, policies, and program goals of the supported. Organization to perform non-routine secretarial and administrative support assignments. Coordinate the work of the office with the work of other offices. For GS-07: You must possess one (1) full year of specialized experience at or equivalent to the GS-06 level that is equivalent in difficulty and complexity as indicated by the following examples: Knowledge of the duties, priorities, commitments, policies, and program goals of the office. Supervisor to perform non-routine secretarial and administrative support assignments. Coordinate the work of the office with the work of other offices. Skill in advising administrative support personnel in such matters as correspondence, telephone procedures, publications, directives, reports, and public relations. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. You must meet all qualification requirements by the closing date of the announcement. Physical Demands: The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. The incumbent may frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials Work Environment: Work is typically located in an adequately lighted, heated, and ventilated office environment. The work environment may involve everyday risks or discomforts that require normal safety precautions typical of such places as offices, mail distribution centers, meeting and training rooms, libraries, or motor vehicles Education There is no education requirement or substitution for this position.
