This is a direct hire/permanent opportunity for a dynamic and organized Executive Assistant/Office Manager to provide unparalleled support to high-net worth clients. As an Executive Assistant/Office Manager, you will be an integral part of the team, wearing multiple hats to ensure the smooth operation of the office and the seamless delivery of services to esteemed clientele. This role requires an individual with exceptional communication skills, strong attention to detail, and the ability to handle a diverse range of responsibilities with grace and professionalism.

Key Responsibilities:

  • Provide support in facilitating effective communication with our international clientele.

  • Manage general office duties including but not limited to filing, invoicing, office supplies procurement, and minor QuickBooks tasks.

  • Act as the primary point of contact for high-net-worth individuals, demonstrating patience, grace, discretion, and professionalism in all interactions.

  • Assist in coordinating with clients globally, handling professional and personal tasks.

  • Ensure timely entry of client time and handle internal invoicing processes.

  • Collaborate with team members to streamline processes and enhance client experience.

  • Manage confidential client information with the utmost discretion and integrity.

  • Uphold a client-centric approach, consistently striving to make processes easier and more efficient for clients.

  • Always upholding a client-serving mentality.

  • Support the office with miscellaneous administrative tasks as needed.

  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient work environment.

  • Maintain office records and databases, ensuring accuracy and confidentiality of information.

  • Procure office supplies and equipment, monitoring inventory levels and optimizing cost-effectiveness.

  • Coordinate and manage complex calendars, appointments, and travel arrangements for clients and firm partners.

  • Facilitate communication between clients and internal stakeholders, ensuring timely responses to inquiries and requests.

  • Assist with client onboarding and account maintenance processes, ensuring compliance with regulatory requirements.

  • Anticipate and proactively address client needs, resolving issues promptly and effectively.

    Requirements

  • Excellent communication skills, both verbal and written, with a high level of professionalism.

  • Bilingual in Spanish is preferred but not required.

  • 3+ years of experience as an Executive Assistant, Office Manager, or similar role, preferably in a professional services environment.

  • Strong organizational abilities with a keen eye for detail.

  • Ability to handle multiple tasks efficiently and prioritize effectively.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, QuickBooks) and willingness to learn new software as needed.

  • Adaptability and resourcefulness in a fast-paced, client-focused environment.

  • Experience working with high-net worth individuals or within the financial services industry is a plus.

  • Ability to maintain professionalism and composure under pressure.

  • Flexible schedule with availability to work 8 hours per day.
