Facilities Administrative Assistant

Salt Lake City, UT (onsite)

Mon-Fri 9:00am – 6:00pm

$55-65K/year

A leading law firm is looking to add a Facilities Administrative Assistant to their Operations and Facilities team. Ideal candidates will possess prior operations experience in the legal, professional services, or mail/package/shipping/logistics industry. This is an excellent opportunity to join a growing firm where there will be lots of learning and growth opportunities. This candidate will be responsible for a high volume of incoming and outgoing deliveries, facilities requests, and support with office equipment and document creation.

What will the Facilities Administrative Assistant be doing?

  • Sorting and distributing all incoming and outgoing mail and packages

  • Liaising with couriers and tracking all packages

  • Managing office supplies and inventory, distributing supplies to staff

  • Assisting with maintenance requests

  • Assisting with any office moves, setups, etc.

  • Maintaining conference rooms and ensuring they are set up properly for meetings and cleaned up afterward

  • Managing conference room schedules

  • Communicating with visitors and showing them to their meetings

  • Creating ID badges

  • Assisting internal staff with creating binders, documents, etc.

  • Utilizing multiple pieces of office equipment such as printers, scanners, binding machines, labelers, etc.

  • Maintaining maintenance logs and associated billing records

  • Scheduling maintenance services

  • Coordinating cross departmentally to ensure supplies and setup are complete for internal and external events and meetings

  • Other duties as assigned

What is required?

  • Minimum of 2+ years of experience in a similar role

  • Prior experience in a law firm, professional services, or shipping/logistics company

  • Excellent attendance and punctuality

  • Ability to work overtime as needed

  • Excellent customer service skills

  • Strong written and verbal communication skills

  • Strong knowledge of office equipment

  • Ability to adapt to changing business needs

  • Ability to multitask

  • Excellent organizational skills and attention to detail

  • This role will require you to be on your feet and walking around the office frequently. You will also be expected to lift and carry objects.
