About the Company:

Robert Half is seeking a meticulous and proactive Property Administrator on behalf of our esteemed client, a leading company in the commercial property management industry. Our client is dedicated to providing top-notch service and maintaining high-quality commercial spaces for its tenants.

Job Summary:

The Property Administrator will support the property management team by handling administrative tasks and ensuring the smooth operation of commercial properties. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Administrative Support:

  • Maintain accurate and up-to-date property records, including tenant files, lease agreements, and maintenance logs.

  • Handle general office duties such as answering phones, managing emails, and filing documents.

  • Assist in preparing financial reports, budgets, and other documentation as required.

  • Tenant Relations:

  • Assist in responding to tenant inquiries and service requests in a timely and professional manner.

  • Coordinate tenant move-ins and move-outs, ensuring all processes are completed smoothly.

  • Help maintain positive relationships with tenants to ensure high satisfaction and retention rates.

  • Property Maintenance:

  • Schedule and oversee maintenance and repair work to ensure properties are well-maintained.

  • Conduct regular property inspections and document any issues or improvements needed.

  • Coordinate with vendors and contractors to ensure timely completion of projects.

  • Leasing Support:

  • Assist with marketing and leasing efforts, including showing spaces to prospective tenants.

  • Prepare and process leasing applications, agreements, and renewals.

  • Monitor and manage lease expirations and coordinate renewals or terminations.

  • Compliance and Risk Management:

  • Ensure compliance with all local, state, and federal regulations related to property management.

  • Assist in managing property insurance, safety protocols, and risk mitigation efforts.

    Requirements

Qualifications:

  • Bachelor’s degree in Property Management, Business Administration, or a related field is preferred.

  • At least 2 years of experience in property management or a similar administrative role.

  • Strong knowledge of property management software and MS Office Suite.

  • Excellent organizational and multitasking skills.

  • Strong interpersonal and communication skills, with the ability to build positive relationships with tenants, vendors, and team members.

  • Ability to work independently and as part of a team.

  • Valid driver’s license and reliable transportation.
