Schuff Steel Co Project Assistant in San Diego, California

Project Assistants are responsible will be responsible to assist the Project Management department in coordinating the necessary activities to ensure the fulfillment of contracts through the management of contractual, financial, and billing documents needed to meet deadlines. Key Performance Objectives:

  • Monitor the status of invoices and payments with our clients and coordinate with Accounting department.

  • Coordinates the Accounting subcontractor and vendor pay applications.

  • Process contracts and change orders.

  • Organize and maintain project files and databases

  • Prepare close-out documents.

  • Complete AIA documents for customer billing on a monthly basis according to contract requirements.

  • Handle lien releases as required by customer.

  • Perform clerical duties as necessary.

  • Arrange for travel reservations and temporary living accommodations for personnel.

  • Reconcile billings and invoices.

  • Distribute necessary documents to appropriate personnel.

  • Send collection notices.

  • Distribute preliminary notices for related projects.

  • Distribute and handle necessary bond information and consent of sureties.

  • Monitor and ensure that the company complies with all insurance requirements for each project.

  • Review and maintain Field Paperwork including Dailys, EWOs, FDRs, Weekly Safety Audits/Inspections follow up with Superintendents for missing or incomplete documentation

    Work Experience

    At least two (2) years of related experience in construction field supporting project management teams.

    Education/Training

    HS Diploma or equivalent.

    Specialized Knowledge Certificates & Licenses

    In-depth knowledge of lien releases. Excellent time management, written communication and organizational skills.

    Software & Technology

    MS Windows 10; MS Office 365; MS Word, Excel, and Outlook; Contract Manager, Primavera Scheduling, Fabtrol and Tekla system.

    Work Environment

    Position requires as many hours needed to fulfill the daily and weekly obligations required to carry out the functions. Working long days including evenings and weekends can be required for this position. Position may require frequent road travel as needed and required. A clean driving record will be required due to required road travel. Current and valid drivers license and proof of acceptable insurance is required. This position is generally indoors in a climate-controlled office. However, frequent trips to deliver/pick up materials and items are common.
