Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
Ability to communicate effectively by creating clear, concise, and grammatically correct work products, including—written report, memo, email, in person, and telephone communications.
Ability to type and proofread correspondence, and utilize common office equipment such as computer, copier, scanner and printer.
Experience with MS Office or Office 365.
Experience working in a high-volume office while multi-tasking, prioritizing workload, creative problem solving, and completing projects within deadlines.
Demonstrated ability to work independently and in collaboration with others.
Preferred Qualifications
Experience maintaining paper and electronic filing systems.
Experience with University systems, such as BDMS , Logi, INB , CatsWeb, Canvas, EvaluationKIT, COURSELEAF CLSS , Canva.
Experience interacting with university faculty, students, and staff in a working environment.
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
Greet, screen, and assist office visitors.
Supervise student office workers by organizing, prioritizing, and directing work assignments and special projects.
Keep track of due dates for all assignments and projects.
Contribute to departmental undergraduate administrative needs by playing an essential role for departmental activities related to undergraduate students recruiting, retention, and career placement.
Work closely with the scheduling team to make entries and updates for departmental course schedules in the university course scheduling software.
Be familiar with the department undergraduate curriculum and make recommendations to the scheduling team.
Track course registration and enrollment during the registration cycles.
Attend and take minutes for the Undergraduate Program committee meetings.
Work with the Undergraduate Program Coordinator on curriculum changes and maintain and update advising sheets for our major and minor programs.
Coordinate desktop copies of textbooks for Instructors of Record.
Assist in the preparation of end of semester student evaluations.
Serve as staff liaison to support the student organizations in the department.
Manage department social media accounts.
Take an active staff leadership role in the planning and coordination of annual department events including the Welcome Back Picnic, PANGEA , and the Scholarship and Award Ceremony.
Coordinate department recruiting and display tables for various events including Bobcat Days, conferences, and special tabling opportunities.
Maintain and respond to inquiries sent to department email account.
Attend university staff development workshops and /or training sessions as appropriate.
Other duties as assigned.
