The Plant Administrative Assistant reports directly to the Senior Operations Leader and is responsible for administrative support to department and the Sandy Plant.

RESPONSIBILITIES

  • High level of phone and email interaction with MDS associates and potential external vendors, associations, and customers.

  • Create correspondence and communications (letters, employee communications/announcements, etc.) collaboratively with others.

  • Organization and management (Event Planning) from department shift meetings to large scale, site wide events etc.

  • Coordinate or assist in plant celebrations and events around employee engagement, special projects, as required including Associate Resource Groups (ARGs), BD sponsored events, and Focus Charity.

  • Liaison between Cafeteria & Plant. Submits facilities request for café, works closely with Café Manager regarding weekly catering & meeting catering requests. Prepares Annual blanket POs for Eurest subsidy, vouchers, and catering.

  • Manages the Reward Voucher program by picking up Meal Vouchers & Movie Tickets and providing distribution. Maintains mailing lists for department associates.

  • Maintains list by permanent associates, reports-to-managers, etc. Distributes communications to associates.

  • Provides back up administrative/logistical support to PLT and Site People Leaders

  • Uses good judgment and confidentiality in scheduling all meetings and other pertinent calendar events. Sets up meetings and sends out appropriate notification to attendees.

  • Schedules and assist with routine meetings including staff meetings, update meetings, one-on-one, including Security and Facilities meeting set up coordination.

  • Provides back-up support to other Administrative Assistants as needed. Organizing & and maintaining department office and manufacturing supplies for the plant.

  • Utilization of business systems (Aravo, BuySmart) Data steward for setting up & updating vendors, acquiring Risk Classification form, CDAs and Confirmation of Insurance if needed. Follow through on PO orders/issues.

  • Supports and follow through of business financial transactions. (Concur Meeting & Purchase card expense reports) Aids vendors in resolving invoice issues. Works with Engineering department to resolve vendor issues.

  • Comply with all local, state, federal, and BD policies, and procedures.

  • Other duties as assigned.

DELIVERABLES

  • Responsible for PO creation and interactions with vendors and service center.

  • Coordinates plant communication activities.

  • Supports overall office needs.

EDUCATION/ EXPERIENCE

  • Minimum education; High School Diploma or GED

EXPERIANCE:

  • Minimum of 5 years of progressive administrative experience.

  • Proficient in Microsoft Office Applications (Word, Excel, PowerPoint, Publisher and Teams).

  • Working knowledge of SAP.

  • Must have strong interpersonal and oral/written communication skills and ability to complete special projects.

  • Must have the ability to anticipate and resolve issues.

  • Must be able to handle highly confidential information.

  • Must be able to interact effectively with all levels within the organization.

  • Must show initiative, good judgment, ability to assume responsibilities, manage and work independently, and handle highly confidential information.

  • Maintains personal computer skill levels compatible with current technology used within the company

  • The incumbent may be frequently required to stand and/or occasionally sit for extended periods of time. Bending, stooping and reaching may occasionally be required.

Shift :

  • 8-hour day shift, M – F, 8 – 5 pm
