UCLA Health IT Logistics Analyst in Santa Monica, California

Reporting to the ISS Logistics and Acquisitions Manager, Supervisor, and Lead, the IT Logistics Analyst plays a pivotal role in ensuring seamless operations for UCLA Health System's Business Operations and IT infrastructure. Responsible for a diverse range of tasks, including receiving, delivery, inventory management, asset tracking, and hardware allocation. This role is essential for maintaining efficient IT services across the organization.

Key Responsibilities:

  • Oversee receiving and delivery processes, ensuring timely and accurate IT equipment and inventory handling.

  • Manage campus inventory and ISS asset management, maintaining meticulous records and documentation.

  • Coordinate with stakeholders to allocate hardware resources effectively, supporting the needs of UCLA Health System.

  • Utilize Service-Now to manage and track service requests, ensuring prompt resolution and customer satisfaction.

  • Documented and managed the RMA and repair process for out-of-warranty equipment, optimizing equipment lifespan and cost-efficiency.

  • Supervise shipping and receiving operations, overseeing asset management and configuration.

  • Develop and enforce policies, standards, and standard operating procedures to streamline operations and ensure compliance.

  • Act as a liaison between UCLA Health Information Technology (IT) and other departments to identify and address hardware standards, procurement needs, and logistics requirements.

  • Manage warehouse space effectively, optimizing layout and storage to accommodate IT equipment and inventory.

  • Develop and maintain meaningful logistics reports, including space management analyses, asset tracking summaries, meeting notes documentation and comprehensive receiving and delivery logs.

  • Coordinate with stakeholders to identify key performance metrics and generate actionable insights from logistics data.

  • Implement best practices for space management and asset tracking, ensuring accuracy and efficiency in inventory management.

  • Collaborate with cross-functional teams to address logistical challenges and streamline operations.

  • Implementation of any necessary improvements or adjustments to warehouse space and logistics processes.

Salary offers are determined based on various factors including, but not limited to, qualifications, experience, and equity. The full salary range for this position is $64,800 - $137,600 annually. The budgeted salary or hourly range that the University reasonably expects to pay for this position is approximately $64,800 - $83,000 annually.

Qualifications

  1. Experience with driving a forklift in a warehouse with two-story bays

  2. Proficiency in Microsoft Excel, from immediate to advanced levels, is a prerequisite for this position. The ability to utilize Excel effectively will be instrumental in various aspects of the role, including data analysis, reporting, and organizational tasks. Candidates must demonstrate a strong command of Excel functions and formulas, along with the capability to manipulate data efficiently to support decision-making processes

  3. Be able to lift 50 lbs. boxes and IT equipment

  4. Excellent written and verbal communication

  5. Experience in ticket systems and ticketing workflow. Preferred experience in Service-Now

  6. Knowledge of IT Acquisitions and Logistics processes

  7. Ability to skillfully react to a fluid and constantly changing work environment

  8. Ability to clearly document processes, procedures, and changes

  9. Ability to work independently and to appropriately prioritize work

  10. Ability to multi-task and provide direction to colleagues, clients, and vendors
