The Department of Global Health was established in 2007, bridging the schools of Medicine and Public Health, with a mandate to harness the expertise and interdisciplinary power of all UW schools and colleges. Position purpose and complexities

The Department of Global Health (DGH) is hiring a 100% FTE Events and Marketing Specialist help craft the strategy and message to highlight the research being done by DGH faculty, staff, and students through email, social media, websites, and events. They will work with faculty and staff DGH and other communicators in the Schools of Public Health and Medicine. This position is ideal for someone interested in health and equity through a global lens.

This position will report the Communications Manager.

DUTIES AND RESPONSIBILITIES 35% Event Management

  • Create, implement, manage, execute, and evaluate DGH events put on by DGH Leadership whose primary audience is Faculty and Staff. Events include both in-person and virtual. There will be the occasional weekend and evening event.

  • Plan and manage all event logistics, working from an approved budget, to include—but not limited to— contact speakers, compile conference materials and guest lists, coordinate registration or RSVP lists, support invitation design and execution, recruit and coordinate volunteers, select appropriate venues and make facility arrangements, arrange transportation, parking and security, select menus and décor, retain caterers and other vendors, provide on-site staffing, and manage services, costs, and billing.

  • Manage special event RSVP and attendance processes, coordinate arrangements for VIP attendees and guests, arrange travel, lodging and accommodations for visiting lectures and guests.

  • Recruit and train event volunteers and student workers to help with event execution.

  • Provide the operational support needed to keep events running smoothly, including maintaining supplies and creating/acquiring signage; troubleshoot and resolve issues at events, whether managing events on-site or remotely.

  • Communicate with event stakeholders and DGH leadership regarding event, project, or program planning, including upcoming decisions, deadlines, red-flags, challenges, etc.

  • Serve as Subject Matter Expert for other personnel in the department to come to with questions about hosting their own events 20% Email

  • Manage and publish the department newsletters: managing the streams of information for content curation, reviewing and editing submitted content, editing copy, sourcing imagery, putting together the layout.

  • Create graphics and source imagery as needed.

  • Responsible for developing strategies to work with DGH Centers, programs, and initiatives to get help improve the process of collecting information for DGH email newsletters.

  • Manage email lists including segmentation and updates

  • Send other emails as needed. 20% Social Media

  • Develop, create and maintain a social media content calendar in line with department goals that correlates with the school and department calendars and days/months of observation/promotion (i.e.- World AIDS day).

  • Overseeing the department social media channels. This will involve creating original content including imagery and copy, amplifying posts DGH is tagged in, and working with DGH partners for posts promoting events. This position will determine the cadence of the post, ensure a variety of topics and imagery.

  • Monitor accounts by other UW departments and partner organizations to share posts.

  • Asses the social media metrics on all channels to refine the DGH social media strategy and make changes as needed. 15% Website Management

  • Create schedules for the monitoring of information and updates.

  • Responsible for keeping the DGH internet and intranet to keep it up to date and accurate: ensure information is accurate, soliciting updates from partners, answering requests for updates from partners, and monitor information passive information channels to assess and determine what information and updates should be included on the internet and/or intranet.

  • Work with DGH centers, programs, and initiatives to solicit content and updates.

  • Create graphics and select images as needed for the website, including hero slides, picture to go with blog posts, and update stock photos. 10% Other

  • Other responsibilities as needed including writing, editing, administration and special projects MINIMUM REQUIREMENTS

  • Bachelor’s degree in communications, Marketing, English, Public Health or related field or the equivalent experience

  • Two years' experience working on communications and marketing platforms (including social media accounts, design platforms as well managing events.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.   • Excellent interpersonal and communication skills; able to communicate effectively in writing, by phone and in person with senior level personal.

  • Demonstrated proficiency with personal computing environment, including Macs and PCs, Microsoft Office Suite (Microsoft Word, Excel, Outlook/Entourage, and PowerPoint), and the Internet.

  • Timely and professional in all interactions while working in a collaborative, team environment committed to social justice, diversity, and inclusiveness.

  • Experience working with marketing platforms such as Marketo, Hootsuite, or Mail Chimp

  • Experience managing events including but not limited to fundraising dinners, public lectures, reception or employee activities. CONDITIONS OF EMPLOYMENT:

  • Ability to work a flexible schedule for events scheduled on evenings and weekends.

  • Ability to efficiently and effectively travel locally to alternate work sites as needed for support of events.

  • Ability to lift/move 20 pounds regularly and up to 40 pounds occasionally for event set up and logistics.
