The UW Autism Center provides diagnostic and therapy services by a team of professionals including psychologists, speech and language pathologists, developmental-behavioral pediatrician, behavioral and educational consultants, certified behavior technicians, and occupational therapists.

We are seeking a Full-Time , Temporary (6-month term) Patient Navigator (Patient Services Specialist 2) to be located at the Seattle clinic location. This position may be extended based on department needs, funding and employee availability.

The Patient Navigator will provide administrative support for clinical services at the UW Autism Center (UWAC) in Seattle and Tacoma. This position is primarily responsible for scheduling clients, and serving as a liaison between clinicians, clients, insurance companies and the billing team. The efforts of this position will be to provide assistance to families navigating UWAC clinical services in Seattle and Tacoma. This position will report directly to the UWAC Director of Clinical Services and the Director of Operations. The Seattle and Tacoma clinics combined serve over 400 individual families over the course of 2000+ visits per year.

Essential Functions: Patient Navigation

• Facilitate patient’s positive experience and track care along the continuum, including scheduling with appropriate providers. • Act as an advocate for patients and their families. • Guide families and clients through intake processes and resource support including needed intake paperwork and collect any payments. • Schedule interpreters (both onsite and remote) and transportation resources as needed (HopeLink). • Assist the patient in coordinating services and scheduling appointments. • Facilitate patient access to Electronic Health Record portal; provide EHR technical assistance and troubleshooting. • Provide records and reports to clients after evaluations. • Reschedule clinical needs and check-ins when support is needed due to workflow or leave; additional duties as needed.

Patient Care Coordination

• Serve as a liaison to Early Intervention providers in the Puget Sound region, assisting with care coordination and managing referrals for diagnostic evaluations. Function as the primary liaison for the patient with providers and outside agencies. • Gather information from referring providers, including medical records, school evaluations, and diagnostic test results; process records requests and appropriately anticipate patient needs for appointments/evaluations including financial status to assist in care planning. • Maintain knowledge of medical record documentation requirements, diagnostic evaluation procedures and specialized instructions with guidelines set by UWAC clinicians.

Administrative Operations and Clinician Support

• Schedule a staff of 10 or more clinicians for assessment and therapy sessions. Assign rooms for sessions and manage schedules. • Train and supervise work study students or volunteers on any needed administrative support tasks. • Data entry into multiple databases, including Electronic Health Record (EHR). • Opening and closing duties if onsite. • Attend staff meetings and participate on internal committees, as required; Attend community events and resource fairs across the Puget Sound representing the UW Autism Center when needed.

Communication and Information

• Answer the Navigator telephone line. Respond to inquiries, and transfer calls as needed. • Provide detailed information about clinical services the UWAC provides. • Review the UWAC website information frequently to find ways to improve the wording or structure and provide feedback to website manager. • Resolve patient problems and respond to requests in a timely manner.

Billing and Insurance

• Verify insurance, submit pre-authorizations for services with insurance company and explain cost of services and insurance coverage to families. • Answer questions related to billing consultation and cost of services. • Assist uninsured patient population access healthcare assistance programs.

Minimum Qualifications:

• High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience OR equivalent education/experience.

Desirable Qualifications:

• Experience with customer service in a clinical setting (dealing with complex situations, conflict resolution, etc.) • Experience with scheduling and insurance authorization related to Applied Behavior Analysis (ABA) clinical services preferred. • Advanced PC skills using a range of software programs including Microsoft Office Suite (Word, Excel, Access, and PowerPoint), Internet Search and Adobe Acrobat; familiarity with Electronic Health Record systems. • Ability to exercise independent judgment, negotiate multilayered regulatory systems, manage competing priorities. • Comfortable talking with the public. • Excellent oral and written communication skills • An approach to working with colleagues that enhances collaboration and team building. • Ability to communicate with a variety of people, including students, staff, media, and autism community members.
