Kanaan Communications, LLC Specialist Data Entry in Selma, Texas
Overview and Essential Functions
The Specialist Data Entry will be responsible for documenting, tracking, and closing all work orders on behalf of the company. This role comprises detailed communication and scheduling activities related to the acquisition of new work, while working closely with operations and accounts receivable to ensure timely deliverables of project milestones and invoice submittals as required for all contracts and related project plans.
What you’ll do…
Confidentiality of any financial and contractual documents
Monitor work order intake portal for all incoming awarded work
Monitor customer portals and accept work assignments
Coordinate all interdepartmental communications for work order setup
Thorough and accurate record keeping of all job documentation in various formats and software applications, including but not limited to: ○ Smartsheets ○ Google sheets ○ Google drive ○ Proprietary company production software
Create, Maintain, and Control project folders in all areas
Create, and Maintain all work orders in production data collection applicationsMaintain project documents according to standardization and controls procedures
Utilize existing tools for successful standardization and assignment of work
Verifies subcontractor status as needed in conjunction with the Contracts department
Prioritization of daily intake tasks with minimal direction and rework
Actively recording all project and permit statuses appropriately and accurately
Assist Project Managers as needed for document collection and repository access
Ensure timely status updates of work orders in collaboration with accounting team
Coordinate accuracy of data entry across all systems of record
Other duties as needed and assigned by manager
Qualifications
Associate's degree (A. A.) or equivalent from two-year college or technical school in a related field; or 2 years experience in the Telecom industry; or equivalent combination of education and experience (required)
Excellent professional verbal and written communication skills (required)
Experience with Google tools such as: gmail, docs, sheets (required)
First-rate communication skills and situational awareness of your audience; i.e., clients, vendors, internal departments, and senior management (required)
Ability to think critically and problem solve, analytically centered, and meticulous about detail (required)
Strong customer service background
Ability to handle multiple projects & meet deadlines in a public reporting environment
Basic accounting knowledge preferred but not required
Smartsheets and Docusign experience preferred but not required
Comprehension of contract language, documentation, and construction blueprints preferred but not required
Experience with project scheduling preferred but not required
Experience in any finance role preferred but not required
