Job Description

Job Summary:

The Proposal Administrator is responsible for the administrative support to the Bids and Proposals team across all EBAD sites and market segments.

Roles and Responsibilities:

Principal duties and responsibilities include the following. Other duties may be assigned.

• Generate weekly reports on open proposal efforts, bids submitted to customers, proposed margins, proposal wins/losses, and forecasted work.

• Track proposal hours & costs across the company. Generate monthly reports for management.

• Provide administrative support to Marketing Department for Inventory Control, Shipping, File Organization and related activities.

• Coordinate with Program Managers and Business Development Managers to create new Sales Quotations in ERP system.

• Create charge codes in ERP system for proposal teams to utilize during the proposal process.

• Create shared drive folders for proposal teams to utilize for work collaboration.

• Enter forecast data into ERP system for proposals submitted to customers.

• Attach required information to each Sales Quotation in ERP system to ensure information integrity of each proposal effort.

• Perform audits of proposals process to ensure compliance with company procedures.

Requirements:

• BS Degree in Business / Finance / Marketing or related discipline

• Ability to work proficiently in both independent and group settings

• Strong attention to detail

• Strong multi-tasking and organizational skills required

• Proficiency in MS Excel and MS Word

• Excellent verbal and written communication skills in English

Desired Skills:

• Demonstrated ability / potential to lead routine proposal efforts to include analyzing customer RFP requirements, coordinating team actions, and submittal of a quality proposal to the customer.

• Demonstrated ability / potential to analyze, recommend, and implement process improvements for proposals.

• Previous ERP system experience preferred.
