The Health Care Integrity and Accountability (HCIA) Divisions are seeking an Office and Administrative Specialist, Senior to provide advanced-level administrative support functions. This position requires the incumbent to have versatile skills, good judgment, and independent thinking to meet HCIA business needs. The incumbent will provide high-level administrative support, project initiation/support, and formatting of documents and presentations that meet accessibility requirements.

Minimum Qualifications

  • Customer service skills sufficient to provide prompt, courteous, and accurate information to internal and external stakeholders via email, on person, or over the phone.

  • Use of word processing skills to prepare, edit, and finalize emails, correspondence, records and reports; write and edit a variety of documents that are grammatically correct, in proper format, and free of errors in spelling, grammar, and punctuation.

  • English language skills in writing, speaking, and reading sufficient to composer correspondence with accurate spelling, grammar, and punctuation and to effectively communicate with internal and external stakeholders.

  • Ability to develop administrative and program procedures and make recommendations to leadership for new or revised program practices and procedures for smooth and efficient office operations.

  • Understanding of MN Government Data Practices Act and state and federal health care privacy laws

  • Data entry skills sufficient to rapidly and accurately input data into various databases and Excel spreadsheets.

Preferred Qualifications

  • Two years of combined administrative support in an office setting, experience which includes, but not limited to, handling a variety of business correspondence, recordkeeping, tracking, or similar responsibilities.

  • Detail-orientated, thorough, accurate, and strong problem-solving skills/dilemma resolution skills.

  • Ability to receive/react to changes in priorities; be able to implement these changes into the daily schedule, exercising good judgement and decision making.

  • A variety of experiences working effectively with others from different backgrounds and cultures.

  • Excellent human relation skills as well as excellent verbal and written communication skills.

  • Excellent organizational skills as well as project management skills and the ability to coordinate/prioritize several, complex, on-going activities at once.

  • Ability to maintain confidentiality, knowledge of Data Privacy laws.

  • Knowledge of Microsoft Office Suites standard software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect them.

  • Use software, such as Microsoft PowerPoint, to create, format, and edit presentations.
