The Office Supervisor is responsible for administrative management of the office including supervising the intake unit and the Notices and Data Specialist in the Office of Ombudsman for Long-Term Care. Responsibilities include:

· Coordinate the delivery of various aspects of the program’s advocacy work for the Office of Ombudsman for Long-Term Care (OOLTC)

· Serve as the point of entry for all persons seeking assistance with long-term care issues from the Office, providing information, education, and consultation services; intake services and referrals to other resources when the issues presented are outside the scope of services provided by the OOLTC

· Direct the work of the intake team including three OASIs

· Answer the main phone, email, mail, and fax communications coming into the OOLTC

· Directs the work of the Notices and Data Specialist who handles thousands of incoming emails and faxes related to statutory notices for assisted living and nursing home facilities

· Support the State Long Term Care Ombudsman with budgeting including supervising and assisting with purchasing/contracting/EIORs for office needs including tracking funding streams

· Support the State Long Term Care Ombudsman with administrative tasks and other duties as assigned

Minimum Qualifications

One year experience with supervising a team while supporting a business unit. Experience must demonstrate the following:

  • Strong organizational skills and developing systems to track assignments and obligations

  • Oral and written communication, word processing, and case management database usage

  • Strong listening and telephone communication skills

  • Ability to maintain professional standards and deliver excellent customer service while dealing with sensitive or stressful situations

Preferred Qualifications

  • Knowledge of long-term care delivery systems, financing (specifically Medicare, Medical Assistance, Veterans Benefits, and private insurance)d, understanding of medical terminology and disability

  • Budgeting skills

  • Variety of experiences working effectively with others from different backgrounds and/or cultures
