Job Purpose and Reporting Structure

Provide technical, fiscal, and administrative support for the Family Support Services (FSS) program, overseeing EVV implementation and compliance and delivering high-quality customer service to 300-500 employees. Support growth and development initiatives within the program. Position reports to the Senior Director.

Essential Responsibilities

  • Listen-Learn-Lead: Model the mission and values of Accord, helping people to live their greatest lives.

  • Contribute towards operational and continuous improvement ideas and implementation related to productivity, accuracy, and turnaround time with a focus on high quality customer service for the families we support.

  • Oversee ongoing implementation of Electronic Visit Verification (EVV) system throughout all direct support employees in FSS, including both existing and new employees.

  • Train, onboard, and support direct support professionals on EVV requirements and use.

  • Provide technical expertise, troubleshooting, training, and ongoing support to FSS direct support employees in the implementation and use of EVV, including in-home training when needed.

  • Print, sort, and track remaining non-EVV payroll timesheets on a biweekly basis and provide payroll for processing, including annual and new hire timesheets.

  • Collaborating with Payroll Specialists to identify and solve payroll errors in EVV, EHR and payroll systems.

  • Collaborate with Finance to identify and solve billing errors in the EVV and EHR systems specifically relating to unit utilization issues.

  • Collaborate with the Senior Director to track patterns to improve quality and efficiency of processes.

  • Collaborate with the Senior Director to refine, improve, and streamline payroll

    • processes for FSS.
  • Collaborate with Finance and FSS coordinators as cross-check and quality control for payroll review/unit utilization issues across the department.

  • Coordinate with others to ensure smooth and effective interdepartmental processes including but not limited to hiring, onboarding, ongoing training, and payroll for direct support employees.

  • Train the FSS coordinators on departmental billing procedures specific to Family Supports human service waiver program.

  • Work collaboratively with the FSS lead coordinator to ensure smooth and effective communication with people supported, families, and direct support employees around payroll and EVV.

  • Ensure compliance with EVV federal and state standards.

  • Represent Accord in statewide work groups focused on the adoption and implementation of EVV standards.

  • Provide excellent customer service in all interactions; respond to all inquiries and issues within 1 business day.

  • As a mandated reporter, respond and report all incidents that occur while providing services to protect the health and safety of and minimize risk of harm to the person(s) supported following Accord’s policy.

  • Serve as a representative of the agency to the people we support, our community partners and external constituents. Serve as a positive role model for other employees.

  • Contribute to growth and development initiatives for FSS.

  • Develop and deliver community outreach and caregiver training, education, events, and advocacy.

  • Must be able/willing to travel for work purpose

Requirements Credentials/Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma required, some higher education preferred

  • Bachelor's Degree in Finance or Human Resources Degree or related field or 3-5 years experience administrative experience in either a finance or human resource required

Skills & Experience

  • 2 years of training and/or experience in Electronic Health Record, Payroll or Finance systems or financial administration preferred

  • Minimum of 1 year of administrative experience in either a finance or human resources role.

  • Proficient in EHR and other software platforms required

  • Knowledge of payroll and billing processes in human service waiver programs

  • Proficient in connectivity, use, and troubleshooting of EVV across multiple systems including SmartPhones, tablets, personal computers, landline telephones, and other platforms preferred.

  • Ability to communicate technical information to non-technical people

  • A passion to make a difference and a desire to learn

  • Strong verbal and written communication skills, including interpersonal skills with a focus on customer service and relationship-building

  • Ability to multi-task and pivot based on workload

  • Attention to detail and excellent time management skills

Language Skills Ability to read, write, analyze, and interpret documents. Ability to document in neat, legible, accurate, and objective manner. Ability to effectively present information and respond to questions from individuals supported, program staff and leadership. Mathematical Skills Ability to calculate figures and amounts such as basic math, which includes (at minimum) addition, subtraction, division, and calculating percentages. Reasoning Ability Ability to read, write and perform math skills; ability to solve problems; ability to accept/follow through with direction and recognize professional boundaries. Ability to serve as a creative team member who can suggest and implement strategies to enhance the service; demonstrate patience, self-control, and flexibility. Strong analytical thinking skills and the ability to think through and propose solutions to complex problems. Certificates/Licenses/Certifications

  • A valid driver’s license and proof of insurance, clean driving record, and a reliable vehicle is required.

  • Approved Background check is required.

The employee in this position typically works Monday through Friday, day hours. Must be flexible to work evenings and weekends as required by management. The noise level in the work environment is usually moderate.
