ASM Global Accounting Clerk in Stockton, California

POSITION: Accounting Clerk

DEPARTMENT: Finance

REPORTS TO: Accounting Manager

FLSA STATUS: Non-Exempt

Summary

ASM Global, the leader in privately managed public assembly facilities, has an excellent and immediate opening for an Accounting Clerk for ASM/Adventist Health Arena. Under the general direction of the Director of Finance this position is responsible for data entry, bill payments and tracking, posting daily sales, and producing daily reports for the Adventist Health Arena, Bob Hope Theatre, Oak Park Ice Rink, Stockton Marina and Stockton Ballpark. This position also includes responsibilities of processing purchase orders, processing accounts payable, recording settlements and cash receipts, preparing bank deposits as needed, and assisting with payroll processing.

Essential Duties and Responsibilities

Include the following. Other duties may be assigned.

  • Assist the Finance Department in its day-to-day activities.

  • Key data into accounting software for A/P, A/R, payroll, and general journal entries.

  • Coding and posting vendor invoices, billing and distributing invoices.

  • Process Purchase Orders and follow ASM Procurement Policy

  • Record customer payments; checks, cash, and/or credit card transactions

  • Reconcile assigned general ledger accounts

  • Organizes and maintains filing system; files correspondence and other accounting records.

  • Carries out responsibilities in accordance with ASM's policies and procedures.

  • Assist accounting staff with administrative duties as necessary

  • Copying, filing, scanning materials

  • Prepare customer invoices for mailing

  • Prepare A/P checks for mailing

  • Assists in the upload of venue information to ASM databases.

  • Prepare accounts payable checks and match with corresponding invoice and purchase request forms.

  • Assist Accounting Manager and Director of Finance in preparation of monthly financial statements.

  • Perform bank reconciliation.

  • Audits receipts and disbursements to ensure accuracy for public shows and resolves credit card charge backs.

  • Completes assigned sections of the monthly close by the specified deadline.

  • Assists in the preparation of public show statements and city amusement tax returns.

  • Communicates with Director of Finance regarding status of projects, workload and concerns in the department on a daily basis.

  • Assist in the preparation of audit schedules.

  • Process bi-weekly payroll accurately for all hourly and salary employees.

  • Monitor and control the timeclock system for hourly employees. Entering new employees and terminated employees from ABI.

  • Verify with Managers employee hours in ABI are accurate. Make applicable corrections and entries when necessary.

  • Process any adjustments or manual checks when needed.

  • Organize and maintain payroll records.

  • Coordinates and implements all wage garnishments.

  • Relieves the receptionist when needed for rest and meal breaks and absences.

  • Monday through Friday office hours with potential weekends, evenings and holidays as needed during special events

  • Assist Director of Finance as needed.

  • Assist Human Resources Manager as needed.

  • All other duties as assigned.

Qualifications

Must be able to multitask, work independently and pay close attention to detail. Organize and prioritize work to meet deadlines. Work effectively under pressure and produce accurate results. Above average level in administering ADP payroll. Computer literate in Word and Excel. Experience in accounting, preferably using Sage Accounting software. Excellent customer service is essential.

Education and/or Experience

Associate degree or higher in accounting, business or finance preferred or equivalent accounting experience. Must pass a clean background and credit check.

Compensation: $22.00 per hour.
