Stony Brook Medicine (Stony Brook University Hospital) Materials Management Administrative Coordinator in Stony Brook, New York
Position Summary
At Stony Brook Medicine, the Materials Management Administrative Coordinator will assist the material's management department with ordering and receiving, supplies and implants for surgical cases in the Perioperative Area's of Stony brook Hospital. They will handle AP, Purchasing and Vendor issues as they arise and make sure inventory is received against order sheets. They update inventory sheets as directed by the Supply Techs and Material's Manager based on usage.
Duties of a Materials Management Administrative Coordinator may include the following but are not limited to:
- Order by blanket PO or by obtaining a requisition the daily orders including supplies and implants.
- Checking PO54 against par sheets each day prior to ordering to ensure order wasn't placed.
- Monitors and facilitates change order notices and ensure balances are unencumbered and items received.
- Obtain product information and pricing from companies with regards to new products.
- Request new Lawson numbers when needed.
- Update par sheets with pricing, new items, new Lawson numbers.
- Checking in the order each day against the book of open Req's.
- E-mail Receiving when orders are received incorrectly with appropriate action.
- Assist with Accounts payable issues when they arise.
- Help with documentation and filing of all human tissue products received/used.
- Maintain backorder logs and communicate with the appropriate parties what is backordered.
Qualifications
Required: Associate's degree and at least 2 years of healthcare setting experience in a healthcare setting or, in leu of a degree, at least 5 years of healthcare setting experience. Ability to multitask in a high paced environment. Strong communication skills, especially via telephone.
Preferred: Materials Management area experience. Experience with Microsoft Outlook, Microsoft Excel, Lawson, Cerner, and/or Surginet.

Prior to start date, the selected candidate must meet the following requirements:
- Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
- Complete electronic reference check with a minimum of three (3) professional references.
- Successfully complete a 4 panel drug screen*
- Meet Regulatory Requirements for pre employment screenings.
- Provide a copy of any required New York State license(s)/certificate(s).
Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

Anticipated Pay Range:
The salary range (or hiring range) for this position is $43,372 - $52,020 / year.
The above salary range represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate's validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:
- Location pay for UUP, CSEA & PEF full-time positions ($3400)
- Night shift differential ($000), evening shift differential ($000)
