Robert Half Workplace Experience Coordinator in Toms River, New Jersey

Description We are offering a contract role for a Front Desk Coordinator based in Toms River, New Jersey. This role is vital in our facilities management industry, where you will be responsible for coordinating and providing administrative support for the delivery of workplace services. This role requires physical presence at the workplace and does not offer remote or hybrid working options.

Responsibilities:

• Manage inventory supply and utilize the work order system efficiently.

• Assist with badging needs and handle reception/switchboard operations.

• Provide administrative support for the workplace experience team as directed, including expense management, meeting coordination, and care of office and workplace experience equipment.

• Utilize and maintain the integrity of databases and other digital tools associated with service delivery.

• Attend move meetings and coordinate all moves with client contacts.

• Respond to customer requests and complaints regarding Workplace Experience services.

• Maintain relationships with vendors that provide services and goods to the office.

• Ensure all vendors used have current proof of insurance and contractual documentation in place per requirements.

• Utilize your skills in customer service, documentation, database management, insurance, receptionist duties, vendors, check processing, digital tools, communication, Microsoft Office Suites, facilities management, handling complaints, coordination, concierge services, and service delivery. Requirements • Proficiency in customer service and strong communication skills

• Experience with documentation preparation and management

• Familiarity with database systems

• Knowledge of insurance policies and procedures

• Prior experience with receptionist duties

• Ability to liaise with vendors and manage relationships

• Experience with check processing

• Digital literacy and familiarity with digital tools

• Proficiency in Microsoft Office Suites

• Experience in facilities management

• Ability to handle and resolve complaints

• Strong coordination skills, particularly in a front desk setting

• Experience with concierge services is a plus

• Understanding of contractual obligations

• Experience with switchboard operations

• Ability to maintain relationships with clients and stakeholders

• Experience with expense management

• Meeting coordination skills

• Experience in supply management

• Familiarity with EO/IR systems and service delivery.
