    Position Summary:

    Provides advanced, diversified, and confidential secretarial services to the Emergency Services and Program Coordinators.

    Qualifications:

    ADDITIONAL REQUIREMENTS Use of usual and customary equipment used to perform essential functions of the position. SKILLS AND KNOWLEDGE Writes, reads, comprehends and speaks fluent English. Basic computer knowledge using word processing, spreadsheet, email, and web browser. Multicultural sensitivity. Critical thinking skills using independent judgment in making decisions.

    Essential Functions:

  • Provides support services for Program Coordinators and Director of Nursing as requested.* Enters required information in the Trauma Registry Database. * Reviews trauma charts to find registry data and elevates any concerns to the trauma coordinator. * Provides support to the S.A.N.E. Program and American Heart Association Course Coordinator. * Issues CPR, ACLS, and PALs eCards as instructed by coordinator. * Deposits payments for courses to cashier, logs the payments accordingly, and creates payment receipts. * Orders course supplies and eCards.* Updates all Community Training Center files.* Assigns CTC modules and as needed to staff utilizing electronic platform.

  • Provides support to Nurse Managers and Leads. * Completes payroll for Nursing Administration team members in an accurate and timely manner* Accurate usage of Kronos and Maintains accurate absent/tardy rates weekly.* Completes filing and mailings as delegated by NMs and Leads.* Updates all e-mail distribution groups.* New employee support including but not limited to creation of new files, mailboxes, service now requests.* Maintain book of staff phone numbers and addresses and updates regularly.* Maintains locker distribution list as requested.* Maintains pagers and list.

  • Provides secretarial support to Emergency Services.* Provides administrative assistant support in a timely and efficient manner.* Creates letters, reports, minutes, memos, forms, flow charts, etc.* Ensures professional looking, accurate and grammatically correct finished document.* Organizes/completes assignments independently, efficiently and in a timely manner.* Attends meetings as needed.* Takes thorough, concise, accurate notes/minutes in assigned meetings with a timely turnaround time.* Transcribes minutes, places in proper format for dissemination.* Has a well-developed computer software program knowledge such as Excel, Word, Access, and PowerPoint.* Information/documents are filed appropriately for easy retrieval.* Makes travel/conference arrangements and coordinates reimbursements for employees* Schedules meetings.* Schedules and maintains calendar of appointment, meetings, travel itineraries, and coordinates related arrangements.* Demonstrates high level proficiency in coordinating meeting times and places, preparing and distributing agendas or other source works, notifying participants.* Scheduled process runs smoothly, all feel well informed, and are not surprised by developments unknown to them.* Communicates effectively with other administrative/secretarial support staff throughout the medical center regularly.* Showing good judgement, creates flyers, announcements, posters and banners for the department.* Provides support of Care Coordination and Emergency Department policies, procedures, and guidelines.* Is the liaison person between nursing and ancillary departments. Does tasks such as ensure maintenance requests have been completed, assists in finding lost belongings and other duties as requested.* Completes room reservations.* Orders supplies as indicated.

  • Maintains skills and current knowledge of secretarial processes and equipment to meet the needs of the position.* Must be self-motivated toward continued professional growth and development.* Continually strives to maintain expertise in secretarial processes and equipment to enable enhancement with assignments.* Key operator for copy machine.* Able to troubleshoot smaller problems with office machines before repair service is required.* Requires minimal direction on routine and non-routine tasks.* Stays abreast of changes/innovation in software or functions of the systems, using them to the highest advantage.* Develops new skills that will improve the quality and efficiency of job duties.* Efficiently conducts library and internet searches as directed.* Approaches problems with systematic and critical thinking, considers issues from all angles and offers suggestions/solutions that assist with projects.* Monitors
