The Vancouver Fraser Port Authority is responsible for the stewardship of the Port of Vancouver, Canada’s largest and most diversified port. Our mandate as a Canada Port Authority, as set out by the Canada Marine Act, is to enable Canada’s trade objectives, ensuring goods are moved safely and responsibly through the Port of Vancouver. That means providing infrastructure and ensuring the safe and efficient movement of marine traffic and cargo within the port. It also means we carry out reviews of proposed activities and developments on federal port lands and waters to determine whether a project can go ahead without impacts to the environment and community that cannot be mitigated.

The project coordinator – real estate (“project coordinator”) is responsible for coordinating and administering the delivery of real estate projects within the Real Estate division. As assigned, the project coordinator will collect and analyze project-level information and produce reports and dashboards to help ensure coordination of inter-departmental contributions to multiple projects and the efficient and consistent planning, execution, monitoring and controlling of elements common to the projects such as risk, schedule, resources, engagement, and Indigenous consultation, among others.

The project coordinator will also contribute to the development of the port authority’s project management framework as well as identify opportunities for improvements and implement approved changes.

What youdo:

  • Writebriefing papers, business cases, submissions, reports and presentations tofacilitate project approvals.

  • Preparerequests for proposal; participate in the selection of consultants and contractors.

  • Collect,analyze, and summarize project-level information and prepare status reports anddashboards.

  • Preparehigh level schedules for project delivery and resource management purposes.

  • Coordinatethe planning, execution, monitoring, controlling and reporting, and closing ofproject work activities, risks andbudget.

  • Assistwith the preparation of project cost estimates.

  • Bookand facilitate meetings, record, and track open action items, issues and risksand ensure timely resolution.

  • Coordinateand administer consultant activities, reporting on status and checking progressclaims.

  • Supportcontract administration for consulting services, including development ofproposal requests, submissions, coordination of contracts, and review ofdeliverables, as required. Engage regularly with other VFPA departments toensure a common understanding of roles and responsibilities and to supportresource management and coordination of inter-departmental contributions toprojects.

  • Coordinateand participate in communication and consultation with project stakeholders.

  • Identifyopportunities for process improvements and implement approved changes.

  • Provide recommendations and explore real estatestrategy for the port authority, as required.

  • Provide real estate knowledge to the project team, asrequired.

  • Developproject document and records management plans and coordinate document controland records management.

  • Preparedocumentation, work instructions, and other training material for project teamprocesses, practices, and tools.

  • Identifyopportunities for improvements and implement approved changes.

What you bring:

  • Musthave a university degree in business, project management, or another acceptabledegree from a recognized educational institution.

  • Aminimum of three (3) years’ related experience in the concurrent delivery ofprojects including project planning, execution, monitoring and reporting,procurement, business requirement gathering, and process improvements within areal estate or property management environment.

  • APMP, CAPM or other project or program management certification or education isrequired.

  • Experiencein commercial real estate strategy is an asset.

  • A high level of computer proficiency is required,including Microsoft Office. SharePoint, Visio and other presentation anddatabase applications desirable.
