Summary: The Assets & Contracts Manager is responsible for overseeing the procurement, management, and optimization of technology assets and contracts. This position involves negotiating software and hardware agreements, managing vendor relationships, tracking asset lifecycle, and ensuring compliance with licensing and regulatory requirements. The Assets and Contracts Manager will work closely with various departments to support the company’s IT infrastructure and strategic goals. The ideal candidate will have experience managing complex cost models, along with exceptional organizational and detail-oriented skills.

Key Responsibilities:

Asset Management

  • Oversee the entire lifecycle of IT assets, from procurement to disposal.

  • Maintain accurate records of all IT assets, including hardware, software, and licenses.

  • Develop and implement asset tracking and costing systems to optimize utilization by operations.

  • Conduct regular audits to verify asset inventory and compliance with licensing agreements.

    Contract Management

  • Negotiate, review, and manage IT contracts, including software licenses, hardware purchases, and service agreements.

  • Collaborate with Legal to ensure contract terms and conditions align with company policies and objectives.

  • Maintain a centralized repository for all IT contracts and related documentation.

  • Monitor contract performance and compliance, addressing any issues that arise.

    Vendor Management

  • Establish and maintain strong relationships with IT vendors and service providers.

  • Establish and monitor key metrics for preferred vendor performance to align with company objectives.

  • Provide real-time feedback to vendors to resolve any issues related to products or services and foster a relationship of continuous improvement.

    Budget and Cost Management

  • Develop and manage the IT asset and contract budget.

  • Assign coding to all incoming AP Invoices for IT asset purchases, liquidations, licenses, and contracts.

  • Verify receipt of materials, licenses, and services and approve vendor invoices for payment.

  • Develop and implement processes to “Job Cost” IT assets based on assignments

  • Monitor expenses and identify opportunities for cost savings.

  • Prepare financial reports and forecasts related to IT assets and contracts.

    Policy and Compliance

  • Develop and enforce policies and procedures for IT asset management and contract administration.

  • Ensure compliance with software licensing agreements, regulatory requirements, and company policies.

  • Stay updated on industry best practices and legal requirements related to IT contracts and asset management.

    Collaboration and Support

  • Work closely with IT, operations, legal, and other departments to align asset management and procurement activities with business goals.

  • Provide training and support to staff on asset management and contract compliance.

  • This position primarily works in an office environment but may require occasional travel to vendor sites or company locations.

    Experience / Qualifications:

  • Bachelor’s degree in information technology, business administration, or a related field.

  • Minimum of 5 years of experience in IT asset management, contract administration, or procurement.

  • Strong knowledge of IT asset management principles, software licensing, and contract law.

  • Strong analytical and data collection skills.

  • Proficiency in asset management software and MS Office tools including Word, Excel, and Outlook.

    Necessary Skills:

  • Excellent negotiation, analytical, and problem-solving skills.

  • Strong organizational and project management abilities.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Experience managing complex cost models.

    Physical Requirements:

    This office position requires the ability to sit for extended periods while working at a computer. Candidates must have the ability to perform repetitive tasks such as typing and using a mouse. Occasional standing, walking, bending, and reaching are necessary. The role also requires good manual dexterity and hand-eye coordination for handling office equipment weighing up to 20 pounds. The ability to communicate clearly and effectively, both verbally and in writing, is essential.

  • Compensation: $30-$37 per hour (DOE), FLSA non-exempt (OT eligible).
