This is a part-time position with a maximum of 1,560 hours per year (averaging 29 hours/week) and is not eligible for paid holidays, leave, or benefits.

Job Description

This Part-time Fiscal & Administrative Assistant will be responsible for providing administrative support, which includes tasks such as answering and directing calls, welcoming visitors, interacting with the general public, elected and appointed officials, managing filing systems, handling mail, procuring office supplies and stationery, keeping track of office inventory, and performing other related activities.

Essential Duties

  • Assists with processing print service requests, creating shopping carts, and entering procurement card transactions

  • Assists with processing staff training requests, travel/conference expenses, reimbursements, and training staff on business expenditures requests and processes

  • Performs daily and weekly tasks as backup to print shop, processing vendor invoices, and managing vendor contracts

  • Assists with maintaining the department's vendor files and contract information

  • Assists with print services request processes from the initial intake form to confirmation of goods receipt, working with internal staff, County departments, and print vendors

  • Assists with budget allocations and monthly reports for each division and annual budget prep entries

  • Maintains professional membership renewals and sending timely reminders to divisions

  • Submits work orders and service requests for repairs and maintenance and maintaining departmental asset inventories

  • Assists with updating risk and records management policies and procedures and continuity of operations plan

Grade

The grade for this position is 97.

Minimum Qualifications

  • High School Diploma, or G.E.D.

  • Minimum of one year administrative support or related office/finance experience

  • Valid driver's license

Preferred Qualifications in addition to the above minimum qualifications

  • Associate's Degree in Business Administration

  • Minimum of one year vendor contract management
