Summary Walla Walla VA Medical center is looking to fill a Lead Medical Support Assistant position located in the Office Of Community Care service line. Responsibilities VA Careers - Lead Medical Support Assistant: https://youtube.com/embed/UJO_XH5uCLs The Lead MSA is responsible for the coordination of MSA assignments and workflow, especially in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, inpatient/outpatient, specialties, and/or community resources. The duties of this position include but are not limited to the following: - Serve as frontline representative and or liaison to assist Veterans and staff; process various requests for information, which will include but are not limited to: In-person assistance, telephone calls, emails, faxes, mail, electronic notifications through VHA systems, following all VHA directives. - Ensures consistent evidence of a professional approach in communicating, listening, and performing procedures in interacting with Veterans, vendors, family, and/or staff. This includes introducing self, addressing Veterans appropriately, and explaining procedures using guidelines. - Ensures their assigned group's documentation in the medical record is accurate and professional, including actions taken, communication that has occurred, and follow up as needed. - Communicate changes in work policy and/or procedures timely and accurately to subordinate members of your assigned group. - Incumbent will complete assignments in accordance with established policies, procedures and standards of work. - Prepares necessary formal authorization documentation for vendors and patients, in accordance with policy. - Ensures assigned group completes care coordination requirements to include tracking appointments to facilitate the progress of the patient's authorized care, to include scheduling, rescheduling, canceling, discontinuing and/or completing in accordance with established policies, procedures and standards of work. - Appropriately refers clinical concerns associated with the non-VA episode of care to the team's RN Case Manager to ensure necessary action; otherwise independently following the progress of the non-VA episode of care through to completion. - Runs weekly reports, reviews information, prioritizes actions, and assigns to group, to ensure timely response to all aspects of the purchased care episode and avoid any unnecessary delays. - Independently identifies areas where process improvement is needed and initiates programmatic improvements. - Demonstrates advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. - Ensures utilization of resources to ensure all tasks are met according to prioritized tasks developed by OCC leadership. Demonstrates the ability to plan and organize workload for MSA's with minimal supervision and occasional assistance. - Process supply requests and work orders. - Runs and/or receives reports ad completes associated tasks as assigned. - Anticipates, assesses and adjusts to changing situations, implementing innovative solutions to make service wide improvements. - Distributes and balances workload of assigned team. - Independently organizes the work effort of the group assigned to, to meet goals set by the service. Qualifications Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j Specialized Experience; must possess one year of specialized experience equivalent to the GS-6 grade level (1) collaborating with medical clinicians across multiple disciplines, scheduling interdisciplinary appointments, and possessing an advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community. Candidates must demonstrate the KSAs below: 1. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. 2. Ability to utilize numerous advanced patient care systems in support of multiple clinics in an interdisciplinary setting. 3. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 4. Skill in communicating with individuals to obtain the desires effect and coordinating with a variety of interdisciplinary care team staff. 5. Ability to provide staff development and training. 6. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact if incomplete work across multiple clinics. Physical Requirements: The work is mostly sedentary but may require periods of standing or walking however, there are no physical requirements for the 0679 Medical support Assistant occupation.
