Overview:

Under the general supervision of the Senior Administrative Assistant, the Administrative Assistant plays a crucial role in supporting the operations of the Trager Lemp Center for Trauma and Resilience (TLC) program. The compensation is $44,000/yr.

Responsibilities:

As a valued member of our team, your responsibilities will include, but are not limited to:

Receive and screen all incoming referral calls for the TLC program. Track, coordinate, and facilitate client referrals and to ensure seamless connections.
Inputting referral data accurately into our electronic health records system. Maintain referral databases for reporting and statistical purposes. Oversight of program time sheets. Assist with day to day operations of the TLC program. Schedule meetings for the team and management as needed. Attend team meetings regularly, take minutes, coordinate meetings, coordinate requests on behalf of the clients, and ensure organization of the calendar. Handle requests for records and maintain compliance with agency policies, procedures, and regulatory directives. Assist with special projects or ad-hoc tasks. Copying, filing, reporting, ordering and maintaining records. Perform general administrative tasks, such as copying and filing, as well as other duties necessary to provide support to the TLC team.

Requirements:

We are seeking candidates who possess the following qualifications:

An associates degree or 5 years of experience in an Administrative Assistant role. Excellent organizational skills and attention to detail. Outstanding customer services abilities. Proficiency with computer skills, namely Microsoft Excel and Word. Ability to compose and edit letters and memorandum. Capacity to handle the varied activities of a large and diversified agency. Strong interpersonal skills and the ability to establish and maintain effective working relationships with supervisors, program officials, employees and community partners. Familiarity with community resources and their utilization. Effective communication skills in English, both orally and in writing. Bilingual English/Spanish skills a plus.
