Management Business Solutions Executive Personal Assistant in Wyoming, Michigan
SUMMARY:
Management Business Solutions is seeking an *Executive Personal Assistant* for its client in *Grand Rapids, MI*. The person will be responsible for providing a comprehensive administrative and personal support to the CEO while also assisting the executive team. This role involves managing schedules, coordinating communications between the CEO and internal/external stakeholders, and handling a variety of tasks to ensure smooth daily operations.
RESPONSIBILITIES:
- Oversee and manage the CEO's calendar, scheduling meetings, appointments, and conference calls to optimize time and productivity.
- Serve as the main point of contact for internal and external communications, screening and prioritizing inquiries as needed.
- Arrange complex travel plans, accommodations, and detailed itineraries for the CEO and executive team, ensuring cost-effectiveness and efficiency.
- Prepare and organize materials for meetings, presentations, and reports, including conducting research and compiling relevant data.
- Assist with personal tasks and errands for the CEO to help maintain a balanced workflow.
- Process and track expense reports and invoices, ensuring accuracy and compliance with company policies.
- Manage and coordinate special projects and strategic initiatives as assigned.
- Anticipate the needs of the CEO and executive team, proactively identifying ways to improve processes and enhance overall productivity.
- Maintain strict confidentiality while handling sensitive business and personal matters.
Act as a bridge between the CEO and other departments, fostering clear communication and collaboration.
QUALIFICATIONS:
Bachelor's in Business Administration, Communications, or related field preferred.
3+ years as an Executive Assistant or similar role supporting senior executives.
Proficient in Microsoft Office & Google Suite.
Strong organizational, time management, multitasking, and prioritization skills.
